the reality of O&M organizations

Large facilities operations are hard to run well — and most asset management systems weren't built for everything your team actually does.

Work orders, assets, and PMs are well-handled by the systems you already have. The gaps are everywhere else: getting work in the door consistently, keeping field teams equipped and accountable, managing vendors end-to-end, and turning years of operational data into decisions. That's where Delta WorkForce™ comes in.

Intelligent Intake

AI-powered work request intake

Replace the call, email, or help desk ticket with conversational AI that captures, prioritizes, and routes every request automatically — reducing call center volume from the moment it's deployed.

  • Conversational AI intake — describe it, snap a photo, or just talk, no forms to fill
  • Automatic duplicate detection — requestors are notified and added to the existing ticket
  • AI-powered classification, prioritization & routing
  • AI suggests charge codes and surfaces insights from request history

Mobilized WorkForce

Mobile-first field work execution

Give your internal techs everything they need to execute work from the field — online or offline — with AI-amplified tools built right in.

  • Full work execution — online and offline
  • Real-time communication across all roles
  • AI-amplified WorkForce tools & recommendations
  • Streamlined time cards, inspections & digital forms

Vendor Management

From first request to final invoice

Complete visibility across every vendor engagement — from initial scope alignment through work execution, documentation, and invoice approval.

  • Scope alignment & proposal management
  • Real-time field tech coordination
  • Structured invoice submission & validation
  • Role-based approval workflows

Built for Real-World Operations

Submit Requests in Seconds

Describe an issue in plain language—or just attach a photo—and our AI instantly structures your request with the right category, priority, location, and full details. No forms to fill out, no calls to make. Before a new ticket is created, the system automatically checks for duplicate work orders so your team isn't managing redundant requests for the same issue.

Once confirmed, the request is automatically routed to the right internal team or external vendor based on the type of work, your location, and your organization's rules—no manual triage required. If a related ticket already exists, submitters can subscribe to real-time notifications and follow along as work progresses. Every request starts complete, tracked, and in the right hands from the moment it's submitted.

Manage Vendors Without the Chaos

Phone calls and scattered emails make it nearly impossible to track decisions, confirm scope, or verify what was agreed upon. Delta WorkForce™ centralizes proposals, updates, check-ins, and approvals in one place — with real-time visibility into who's on-site and how work is progressing. No more back-and-forth. Just a single source of truth.

Eliminate Invoice Ping-Pong

Vendor invoices stall when teams can't confirm work was completed or scope was met. Delta WorkForce™ connects invoices directly to the work record — so documentation, scope, and approvals are already in place when it's time to pay. Review, approve, and mark "OK to Pay" with confidence, without the email chains.

Real-Time Updates from the Field

Whether it's an internal technician or an external vendor, everyone documents progress directly within the job — status changes, photos, notes, labor, and materials captured in context and instantly visible to the right people. No follow-up calls, no missing information at closeout. One live record from first assignment to final sign-off.

Common Questions

Frequently Asked Questions

What is a Vendor Work Order?
A Vendor Work Order is a work order issued to an external vendor for labor or services. It is distinct from an Internal Work Order, which is assigned to your own workforce.

Can I batch assignments for my vendors?

Yes.  You can batch work orders for streamlined transmission and confirmation.  Each assignment in the batch will be counted toward your purchased blocks.

Does going back and forth with questions, clarifications, or updates with my vendor affect my work order volume?

No.  A work order is only counted once toward to the purchased block regardless of how many times it changes details or status.
What is a Work Request, and how does it differ from a Work Order?
A Work Request is how anyone in your organization — a tenant, an employee, or anyone without authority to create a work order directly — can flag an issue or suggest that maintenance attention is needed. Think of it as a structured suggestion to operations: a broken light, a comfort complaint, something that doesn't seem right. Operations reviews incoming requests and makes the official determination of whether a Work Order is warranted and what form it should take. Requestors stay informed through automated email notifications as their request is reviewed and acted on. When connected to IBM Maximo, this gives your broader user community a mobile-friendly intake channel without requiring Maximo access. Work Requests are unlimited on all plans and never count toward throughput.
Can I purchase multiple throughput blocks?
Yes. You can purchase as many blocks as your operation requires, for each transaction type independently. There is no cap on the number of blocks you can hold, and your per-block rate is determined by your plan tier.
What happens to unused volume at renewal?
Throughput blocks cover your full annual term. Unused volume does not carry forward into the next contract year — at renewal, your allocation resets based on the blocks you purchase for the new term. We recommend right-sizing your blocks at renewal based on the prior year's actual usage.
Can I upgrade or downgrade my plan?
Yes. Plan changes take effect at the start of your next billing cycle. Your account manager can walk you through any proration specifics based on your agreement.
Does Delta WorkForce™ integrate with IBM Maximo?
Yes — and it's ready to go out of the box. Our Maximo integration is pre-built and available on the Advanced plan and above. There's no custom development required; it can simply be enabled for your environment. Keep in mind that Advanced includes one ERP / EAM integration — if your organization needs connections to additional systems alongside Maximo, the Premium plan supports multiple integrations.
Does Delta WorkForce™ integrate with other CMMS and EAM systems?
Yes. Delta WorkForce™ exposes open APIs that support integration with virtually any external CMMS, EAM, or ERP system. Single-system integration is available on the Advanced plan. Organizations requiring connections to more than one external system should consider the Premium plan or above.
What happens if I exceed my block allocation?
Because all throughput is billed annually, your block allocation covers your full contract term — not a monthly limit. If your operation exceeds its annual volume mid-term, you have two options: purchase additional blocks at that point, prorated for the remainder of your term, or carry the overage into an adjustment at your next renewal. Either way, we will never lock you out of processing transactions mid-operation.
How do I get my vendors to actually use this?
In our experience, vendor adoption is rarely the obstacle it appears to be. Vendors are motivated by three things: getting paid faster, spending less time chasing status updates, and keeping their clients happy. Delta WorkForce™ addresses all three. When invoices are submitted through the platform, OK-to-Pay approvals that once took weeks or months can happen in hours or days. Vendors gain real-time visibility into their work orders and a single place to communicate with your team rather than managing a tangle of emails and calls. And because vendors are in the service business, a platform that helps them respond faster, provide better work detail, and stay aligned with your team directly contributes to a better client experience — which is ultimately what keeps them coming back. When vendors understand what's in it for them, adoption tends to follow.
Is the mobile app available on all devices?
Yes. The Delta WorkForce™ mobile app is available on both iOS and Android and is designed for field use — including offline mode so your team can continue working in areas with limited or no connectivity. Data syncs automatically when a connection is restored. The mobile app is included on the Advanced plan and above.
Is there a trial or pilot program?
Yes — the Essential plan is designed with piloting in mind. It gives your team access to the core platform so you can validate workflows, onboard a subset of vendors, and build internal confidence before committing to a broader rollout. Contact us to discuss how a structured pilot might work for your organization.
Is there a minimum contract length?
All plans — including platform subscriptions and throughput blocks — are billed annually. Multi-year agreements are available and may include additional discounts. Contact us to discuss the right structure for your organization.
