SERVICE VENDOR MANAGEMENT PLATFORM

One platform for
managing vendor work

Delta WorkForce™ brings vendor requests, proposals, work orders, and invoices into one connected workflow — giving operations teams complete visibility from the first request to the final invoice.

Vendor Workflows

Structured vendor workflows from first request to final invoice

Standardize how vendor work is requested, quoted, approved, executed, and invoiced. Each stage follows a defined process with clear ownership, full visibility, and complete tracking — ensuring consistency and accountability from start to finish.

Real-Time Coordination

Real-time visibility across every role

Delta WorkForce™ includes embedded, real-time messaging within every workstream. Requestors, admins, vendor supervisors, and field technicians can communicate instantly. With live notifications and centralized visibility, every stakeholder stays aligned — reducing response times and eliminating fragmented communication.

Intelligent Invoicing

Pay vendors faster — with confidence

Vendors submit structured invoices tied directly to approved scope and documented work. Built-in validation and contextual visibility make it easy to verify completion before approval. Review, route for approval, and mark invoices “OK to Pay” with confidence — reducing administrative burden and accelerating vendor payment.

Seamless Integrations

Works with your existing EAM — not around it

Delta WorkForce™ is designed for integration with EAM systems and includes an out-of-the-box integration with IBM Maximo. Work orders, assets, vendors, and financial data synchronize seamlessly — ensuring vendor workflows stay aligned with your existing systems. Enhance your EAM without replacing it.

Built for Real-World Vendor Operations

Submit Requests in Seconds

Initiate vendor work quickly with clear scope, photos, and documentation from the start. Replace phone calls, scattered emails, and informal requests with a structured intake process that ensures every request is captured and tracked. No more forgotten requests or unclear instructions—everyone involved can see what was requested, what needs to be done, and when work should begin.

Manage Vendors Without the Chaos

Most vendor coordination happens through phone calls and scattered email threads — making it difficult to track decisions, confirm scope, or verify what was agreed upon. Delta WorkForce™ centralizes proposals, updates, and approvals inside the workflow so nothing is lost and everyone works from the same source of truth.

Eliminate Invoice Ping-Pong

Vendor invoices often move through email chains and manual handoffs before approval — waiting on confirmation that work was completed and scope was met. That lag creates delays, uncertainty, and unnecessary administrative effort.Delta WorkForce™ centralizes invoice submission, verification, and approval inside the workflow itself. With work documentation, scope alignment, and role-based routing already in place, teams can approve and mark invoices “OK to Pay” with clarity — accelerating payment while maintaining control.

Real-Time Updates from the Field

Instead of status updates buried in inboxes, invoice lines, or voicemail, vendors document progress directly within the job. Photos, notes, and changes are captured in context and instantly visible to the right stakeholders — reducing latency and preventing missed information.

Throughput is purchased in fixed blocks, billed annually alongside your platform subscription. Block sizes vary by transaction type — see the table below. Higher-tier plans unlock lower per-block rates. Additional transaction types will be added as the platform grows.

Common Questions

Frequently Asked Questions

What is a Vendor Work Order?
A Vendor Work Order is a work order issued to an external vendor for labor or services. It is distinct from an Internal Work Order, which is assigned to your own workforce. Only Vendor Work Orders are currently available as a throughput transaction type.
What is a Work Request, and how does it differ from a Work Order?
A Work Request is how anyone in your organization — a tenant, an employee, or anyone without authority to create a work order directly — can flag an issue or suggest that maintenance attention is needed. Think of it as a structured suggestion to operations: a broken light, a comfort complaint, something that doesn't seem right. Operations reviews incoming requests and makes the official determination of whether a Work Order is warranted and what form it should take. Requestors stay informed through automated email notifications as their request is reviewed and acted on. When connected to IBM Maximo, this gives your broader user community a mobile-friendly intake channel without requiring Maximo access. Work Requests are unlimited on all plans and never count toward throughput.
Can I purchase multiple throughput blocks?
Yes. You can purchase as many blocks as your operation requires, for each transaction type independently. There is no cap on the number of blocks you can hold, and your per-block rate is determined by your plan tier.
What happens to unused volume at renewal?
Throughput blocks cover your full annual term. Unused volume does not carry forward into the next contract year — at renewal, your allocation resets based on the blocks you purchase for the new term. We recommend right-sizing your blocks at renewal based on the prior year's actual usage.
Can I upgrade or downgrade my plan?
Yes. Plan changes take effect at the start of your next billing cycle. Your account manager can walk you through any proration specifics based on your agreement.
Does Delta WorkForce™ integrate with IBM Maximo?
Yes — and it's ready to go out of the box. Our Maximo integration is pre-built and available on the Advanced plan and above. There's no custom development required; it can simply be enabled for your environment. Keep in mind that Advanced includes one ERP / EAM integration — if your organization needs connections to additional systems alongside Maximo, the Premium plan supports multiple integrations.
Does Delta WorkForce™ integrate with other CMMS and EAM systems?
Yes. Delta WorkForce™ exposes open APIs that support integration with virtually any external CMMS, EAM, or ERP system. Single-system integration is available on the Advanced plan. Organizations requiring connections to more than one external system should consider the Premium plan or above.
What happens if I exceed my block allocation?
Because all throughput is billed annually, your block allocation covers your full contract term — not a monthly limit. If your operation exceeds its annual volume mid-term, you have two options: purchase additional blocks at that point, prorated for the remainder of your term, or carry the overage into an adjustment at your next renewal. Either way, we will never lock you out of processing transactions mid-operation.
How do I get my vendors to actually use this?
In our experience, vendor adoption is rarely the obstacle it appears to be. Vendors are motivated by three things: getting paid faster, spending less time chasing status updates, and keeping their clients happy. Delta WorkForce™ addresses all three. When invoices are submitted through the platform, OK-to-Pay approvals that once took weeks or months can happen in hours or days. Vendors gain real-time visibility into their work orders and a single place to communicate with your team rather than managing a tangle of emails and calls. And because vendors are in the service business, a platform that helps them respond faster, provide better work detail, and stay aligned with your team directly contributes to a better client experience — which is ultimately what keeps them coming back. When vendors understand what's in it for them, adoption tends to follow.
Is the mobile app available on all devices?
Yes. The Delta WorkForce™ mobile app is available on both iOS and Android and is designed for field use — including offline mode so your team can continue working in areas with limited or no connectivity. Data syncs automatically when a connection is restored. The mobile app is included on the Advanced plan and above.
Is there a trial or pilot program?
Yes — the Essential plan is designed with piloting in mind. It gives your team access to the core platform so you can validate workflows, onboard a subset of vendors, and build internal confidence before committing to a broader rollout. Contact us to discuss how a structured pilot might work for your organization.
Is there a minimum contract length?
All plans — including platform subscriptions and throughput blocks — are billed annually. Multi-year agreements are available and may include additional discounts. Contact us to discuss the right structure for your organization.
